CRM systems

A custom CRM built around how your team works.

Clients, deals, tasks and operational workflows in one working system. We help choose an existing MaxICo product, adapt Twenty or build a custom CRM, based on your process and budget.

The task

What it is and who it is for.

We organise customer data, ownership and next actions so the team can follow a shared workflow. An existing product fits when it already covers the task; Twenty offers an agreed platform configuration; custom development gives you a system built around specific rules. We confirm the scope before starting.

Custom CRM development

A made-to-order CRM, not a generic template.

“Custom CRM development” means the fields, statuses, roles, and automations are designed around your workflow, not the other way round. On this page, that can take one of three shapes: an existing MaxICo product configured for your case, an implementation on the Twenty platform, or a fully custom CRM built from scratch. The comparison table below helps decide which one fits before you commit to a scope.

“CRM system to order” and “CRM development” usually point to the same underlying need: the software you find off the shelf does not match how your team actually sells, delivers, or tracks work, and adapting it would cost more than building the missing piece. That gap shows up as workarounds in spreadsheets, statuses that do not match reality, or a role the CRM was never built to support. Custom development starts from that gap, not from a feature list — we document the process first, then decide how much of it needs its own database and screens versus a configuration of an existing product.

Choosing an approach

Off-the-shelf or custom CRM?

Both approaches can work. We compare the required workflows and full costs, including what happens after launch.

Delivery models: what to compare before making a choice

Integrations and dataWe check available APIs, plan limits, export formats and existing integrations. We design data exchange around the task and check external system capabilities separately.
How we decideWe compare required features, a current vendor quote and planned team growth. We estimate development scope and total ownership cost over the same period.

Vendor costs come from your current quotes. Custom development does not automatically mean a lower total cost.

Workflows

What your team needs to do each day.

These are possible configurations. We agree on the relevant workflow first, then separate the base from additional modules.

Sales and B2B

Leads arrive through different channels, while agreements stay in individual managers’ chats.

Lead → owner → deal stage → next action → outcome.

The custom base includes contacts, deals, one pipeline, tasks and access roles. Messaging channels, AI qualification and special reports are scoped separately.

Service business

You need to see who delivers each job, its current stage and the customer’s service history, beyond the sale itself.

Request → estimate → assignee → delivery → service history.

Possible extensions include service requests, assignments, statuses and history. Inventory, documents and integrations depend on the agreed workflow.

Project-based manufacturing

Orders move through several stages, and a delay at one stage affects the deadlines of others.

Order → stages → tasks and dependencies → deadline tracking.

Possible scope includes projects, owners, dependencies and critical-stage tracking. Manufacturing accounting and inventory are separate scope, outside the standard CRM base.

Studios and schools

Schedules, memberships and attendance live in different spreadsheets that an administrator has to reconcile.

Booking → group or class → attendance → membership → reminder.

Possible scope includes groups, substitutions, memberships and reminders. We first check an existing product’s fit; special calculations and channels are estimated separately.

Your starting point

A transition plan for your current setup.

Starting from spreadsheets

We map fields, statuses and working rules, then agree on the first version and the data to migrate.

Moving from another CRM

We check exports and APIs, test migration on a data copy, and agree on acceptance checks and a cutover plan.

Connecting several systems

We define the source of truth, what needs to sync, and who is responsible for keeping data up to date.

03CRM and operational systems: scope boundaries

The ready-made option applies to an existing MaxICo product. Messengers, inventory/ERP, migrations and complex integrations are not automatically included.

04"How do we migrate data from the old CRM?"

We cannot promise zero data loss or zero downtime before auditing the source system. We check exports and APIs, clean a copy of the data, run a test migration, define acceptance checks, backups, a rollback plan and an agreed cutover window.

05"Who owns the code and data?"

We define ownership of the agreed custom code and database in the contract. Hosting can be on your infrastructure or an agreed provider. Third-party components and services keep their own licenses, limits and fees.

06"How long and what about hosting?"

After discovery, we provide a preliminary scope, calendar and cost range. Infrastructure depends on load, security, backups, storage and integrations; hosting and support are shown as separate items unless the brief specifies otherwise.

07"What about updates and support?"

Before handover, we agree on documentation, access and a support model. Updates and new modules can be separate tasks or a retainer; infrastructure and third-party services may remain recurring costs.

08"Is it definitely cheaper than off-the-shelf?"

Not necessarily. We compare the current CRM, projected team size, integrations, migration, development, infrastructure, support and change costs over an agreed horizon. The result is a scenario estimate, not a guaranteed payback period or savings figure.
