CRM system for a fitness club or studio

A crm system designed for the reality of a fitness club or studio, with the agreed scope. The process comes first; technology follows it.

Niche logic

Why generic tools miss the reality of a fitness club or studio.

A proposed first release is scoped from the operating pain, the necessary data, and one visible acceptance criterion.

01

What breaks today

class schedules and trainer substitutions live in someone's head, memberships and freezes are managed manually, payroll is calculated in spreadsheets, and members forget sessions.

02

What the system must know

group and private schedules, trainer substitutions, memberships and freezes, automatic payroll, and member reminders.

03

How it works in practice

The system can manage memberships and schedules, calculate payments under approved rules, and remind members before classes. A responsible person reviews formulas and exceptions.

AI dashboard for SMM · self-hosted product

Instagram Dashboard — AI-powered Instagram analytics you can grab from GitHub for free

Instagram's native stats are shallow. They show "right now" — no history, no "better or worse than last month" comparison, no breakdown of what actually worked. An SMM manager or creator looks at reach and can't tell WHY one Reel did 50K while the next did 800. Then comes the manual work. Export the numbers into a spreadsheet, roll them up by day, try to remember which Reel pulled what, eyeball the pattern. For a single client that's hours every week; across a roster of clients it's a dedicated hire. And above all: stats don't explain the content. The whole point of a Reel sits in the script — in the hook, in the first few seconds, in HOW it's said. A reach number can't see that. We built a tool that can.

Vocal studio / music school

Turnkey CRM for a vocal studio: the studio's entire operation in one system — Tvor.20 case study

A vocal studio runs on a stream of small actions: booking slots, cancellations, reminders, payments, deducting lessons from packages, calculating teacher payroll. While there are only a few students, it all lives in chats and spreadsheets. The moment the studio grows, the admin drowns: leads get lost, someone underpaid, someone didn't show, package balances are counted by hand, and at the end of the month there's a separate saga — calculating each teacher's pay at their own rate. Off-the-shelf SaaS for music schools doesn't fit a specific studio. The interface is overloaded with hundreds of features nobody uses. Pricing is per student or per teacher, so ~$40–200/mo grows right along with the studio. And the template doesn't know this particular studio's processes: one-off lessons vs. deducting from a package, online / offline / both formats, auto-cancellation rules, the Ukrainian Monobank payment flow, working through Telegram. There's no adequate alternative on the market that combines all the needed functionality and doesn't get more expensive with every new student. So we built our own — and used it to cover the studio's entire operation, from the first booking to teacher payroll.

Before the first call

Three practical questions.

Why is this better than an off-the-shelf tool for a fitness club or studio?+

Generic tools ignore the operating specifics of a fitness club or studio. We design the system around your actual process: group and private schedules, trainer substitutions, memberships and freezes, automatic payroll, and member reminders.

How long does it take and what does it cost?+

The starting range is from $800. Choose an existing MaxICo product from $800, Twenty implementation from $1,000, or custom CRM from $1,500. Custom base: contacts, deals, one pipeline, tasks and roles. About 20 / 20 / at least 30 working days. Integrations and migration separately. We confirm scope and timeline after reviewing the required inputs and dependencies.

What if we already use another system?+

We first audit the current system, data access and integration limits. What stays, migrates or connects is then documented in the rollout scope.
