A MaxICo Labs product

ClubBase

A CRM for studios and fitness clubs

Product in detail

How this product works.

A MaxICo Labs product running in production at clubbase.fit. Schedule, clients, memberships, attendance, team and finance share one system: an action in the schedule immediately changes what the admin, the coach and the owner see.

ClubBase closes the gap through which a studio loses money without noticing. The schedule lives in a notebook or a spreadsheet, bookings arrive in direct messages, membership balances sit in the administrator's head, and coach payroll is counted by hand at the end of the month. Every reconciliation between a chat and a spreadsheet is either a lost client or a class charged twice.

The client checks the schedule and books without help, arrives and shows a QR code, and the class is deducted from the membership with no administrator involved. The studio runs a per-room schedule with conflict detection, a student base, memberships with balances and debts, leads and trial classes, team tasks, finance and coach payroll. Migration from old spreadsheets is a separate step: a CSV and XLSX import shows the data for review before anything is applied.

The product was designed for several sports from the start, while go-to-market stays narrow for now, with dance studios first. Pricing starts at $9 per month and is counted by active students, meaning people who actually attended rather than rows in a database. An extra location costs $10 and a separate branded Telegram bot $5. The first 14 days are free.

The platform runs on clubbase.fit, not in a mockup.

The frames are taken from the product's public pages. Figures on the screens are illustrative: we cannot show data from real studios.

01

Running in production on its own domain, not a prototype

ClubBase closes the gap through which a studio loses money without noticing. The schedule lives in a notebook or a spreadsheet, bookings arrive in direct messages, membership balances sit in the administrator's head, and coach payroll is counted by hand at the end of the month. Every reconciliation between a chat and a spreadsheet is either a lost client or a class charged twice.

02

Client self-booking and QR check-in instead of an administrator

The client checks the schedule and books without help, arrives and shows a QR code, and the class is deducted from the membership with no administrator involved. The studio runs a per-room schedule with conflict detection, a student base, memberships with balances and debts, leads and trial classes, team tasks, finance and coach payroll. Migration from old spreadsheets is a separate step: a CSV and XLSX import shows the data for review before anything is applied.

Memberships with balances, debts and coach payroll

The product was designed for several sports from the start, while go-to-market stays narrow for now, with dance studios first. Pricing starts at $9 per month and is counted by active students, meaning people who actually attended rather than rows in a database. Before implementation

We first map the product to your workflow.

The introductory call gathers context. The available foundation, integrations, and ballpark scope are confirmed only after a separate review of requirements and dependencies.
